Welcome to the Spooktacular Coaches!!
We are excited to see you all this weekend for the Tournament!
Please read through the following items to assist you and your teams and families. Please share the information below with your families as well so they are in the know.
- A coach must check in prior to your first game. We will verify your USA registration, and insurance. When you check in we will also verify that your roster is online and you will receive two game balls at that time in a Halloween bucket with candy to share with your team (or eat on your own). 🙂 Check in at OGSA 151st St. Complex will be in the office at the back of the park near the rest rooms. Stacey and Brad will be at OGSA as your Tournament Directors. Darren and Wally will be around both parks all weekend and will be the Tournament UIC’s.
- When you check in you can buy up to 3 Ghost Runner Coupons for $5 each (you can use 1 per pool game). Give the coupon to the umpire at the beginning of the pool game and you can place any runner on 2B to begin your first inning at bat. Be sure it is not a runner that may come up to bat that inning or they will be out.
- OGSA fields have turf pitching mats so your pitcher cannot wear metal spikes. They must wear turf shoes or molded cleats when pitching.
- On the tournament info section is the information for special rules as they apply to any relevant divisions (8 Open, 10C and 12C specifically). We will also be flighting brackets in 8 Open and 10C.
- GATE/PARKING/COACHES PASSES: Everyone will pay at the gate. A Coach can then bring up to 3 paid gate passes to the check in area (bring them all at once if you can) and you will be reimbursed and receive your weekend coaches passes (up to 3). This needs to be done on the first day you play. There will be no weekend reimbursements on Sunday (except for 16/18U teams), and we can only reimburse for 3 passes total—so please do not pay Saturday and Sunday and then bring 6 passes Sunday—you will only get reimbursed for 3 total. Gate is $8 per day for adults and $5 per day for Kids and Seniors. Cash only. Anyone who refuses to pay gate, treats gate workers with disrespect, or enters the facility without paying gate will be asked to leave the complex. USA Softball has a zero tolerance policy that everyone must abide by. There is NO parking allowed at the church or the Daycare—please park in the complex lot. If anyone parks in either the church or daycare the car will likely be towed.
- CONTESTS: For the team costume contest please take your team photo, then post it under the Team Contest Post on Olathe Girls Softball Association Facebook Page. Please include your team name and division you are playing in. For the dugout decorating contest please decorate your dugout or any section of fence and post a pic under the Dugout Contest Post on Olathe Girls Softball Association Facebook Page. Please include your team name and division you are playing in. For the pumpkin decorating contest please bring them to the office and display them outside the office. Make sure you team name is with them. You are welcome to wear costumes all day, all weekend, or just one game. Up to you. But please post pics by the end of the day on Saturday unless you are 16/18 teams who only play on Sunday. You may conduct all of your contests on Sunday and posts pics on Sunday.
- We will have a photo opportunity display between the concession stand and field 3. We have haybales, pumpkins, a skeleton, and other fun things. Come take your team pic there.
- We will have Spooktacular t-shirts and hoodies for sale near the office.
- At OGSA we have scoreboards!! There is a code on the backstop and one team should designate someone to log in on their phone to control the scoreboards.

THE OGSA SPOOKTACULAR TOURNAMENT
NO METAL SPIKES allowed on the pitching mats at Lone Elm or OGSA. Turf shoes or molded cleats only.
NEW FOR 2025:
- Spooktacular will begin our 2025-2026 Points Chase. We will begin awarding points for any tournament teams participating in an OGSA hosted tournament and in the summer of 2026 crown our Points Champions. When the points champion is crowned in the summer of 2026 you will have an opportunity to pick from a number of exciting prize packages including free entry fees. If you win a division of Spooktacular you will earn 3 points. If you are runner up you will earn 2 points. And if you make it to the Final 4 of any division you will earn 1 point. Simply playing in the Spooktacular will earn you another bonus point.
- Bonus Points—If you are receiving this email it is because you participated in an OGSA tournament this year. We thank you for your support!! To show our appreciation anyone who played in one of our 2025 tournaments who also plays Spooktacular will start with 3 bonus points!
- But wait, there is more. It's Spooktacular after all. So you can buy a GHOST RUNNER. During check in before your first pool game you can buy up to 3 Ghost Runner tickets (can only use 1 per pool game) for $5 each. Give a ticket to the umpire at the start of the game in order to put a runner at 2nd Base during the 1st inning of any of your pool games.
- We will have a costume contest, pumpkin decorating contest, and dugout decorating contest again this year!
- We will have our usual Halloween bags of candy with game balls to give out at check in, decorations throughout the complex, and contests as well. But we are planning other things as well so we hope you can join us!
We really hope to see you at the Spooktacular at OGSA and Lone Elm October 4th-5th.
Tournament FUN
- Teams can compete in the costume contest with a chance to win $25 and $50 gift cards from Academy Sports + Outdoors. Wear costumes and submit pics by commenting your team name, age division, on the OGSA Facebook Page under the appropriate age division category before the end of Saturday night.
- Teams can decorate their dugouts and send their pics to the OGSA Facebook page under the Dugout contest post before the end of Saturday night.
- Teams can decorate pumpkins and bring them to the check in areas at Lone Elm or OGSA to have them displayed. Please leave your team name and age division with the pumpkin.
- Tournament champion and runner-up in each division will receive Halloween-themed medals and trophy.
- Other exciting and fun events throughout the weekend. Stay tuned as you do NOT want to miss this years Spooktacular!!
Tournament Details
- 4 Game Guarantee - pool followed by single elimination bracket.
- 8U - $270 - coach pitch.
- Admission fee will be $8 (with $5 for seniors (55+) and kids (13-17)); children 12 & under are free.
- All divisions will play by USA Softball Rules (except where otherwise specified):
- 10C division: no dropped third strike, no infield fly rule, no stealing home (can only advance home if forced via hit by pitch or walk or on a ball hit). NO one base on an overthrow restriction. Any baserunner attempting to steal home is at liability to be put out; if they make it home without being put out, time will be declared and all runners that advanced will be returned to their originating base. 3 outfielders.
- 8 Open, 10C & 12C divisions: five run per half inning limit.
- All divisions: roster batting allowed but not required (can also bat nine, OR nine with a DP/Flex, OR ten with a DP/Flex and an EP, OR ten with an EP).
- Run spreads of 12-10-8 after innings 3-4-5.
- Lone Elm/Olathe Girls does not allow alcohol consumption, smoking, vaping, bicycles, hoverboards, scooters, skateboards, motorized vehicles, or weapons within their facilities. We do not tolerate abusive behavior or language of any sort towards other participants, staff, umpires. Violating any of the above restrictions will result in being removed and prohibited from returning to either complex.
- USA Softball Tournaments have adopted a zero tolerance policy that all participants agree to by taking part in our events. Anyone found in violation of this policy will be subject to removal from this event and possible disciplinary actions for future events.
- Be prepared to play Friday evening (dependent on number of entrants).
Registration Deadline
- September 28th at 10:00 PM
- All teams must be registered and paid by the deadline to be scheduled
Check-In Details
- Must be USA Softball registered for the 2025 season in order to participate
- Must show proof of insurance
- Must have a completed roster -> Tournament MVP
- Player List/Roster must have all current coaches and players listed
- Receive two softballs once all items are verified
Coaches Requirements
- All coaches in the dugout or on the field must have completed the following:
- Background Check -> Register USA Softball
- SafeSport -> Register USA Softball
- In addition, concussion training is strongly in recommended for 2024 -> CDC Heads Up

- Rainout Policy
- If 75% of games are played, there will be no refunds.
- Any refunds will be issued based on the number of games a team played.
- If no games are played, a $30 administration fee will be withheld from the refund.
- No refunds will be given to teams who forfeit games.
- Team Drop Policy
- If a team drops before the registration deadline has passed, there will be a full refund.
- If a team drops on Sunday before the tournament, there will be a $60 administration fee assessed and balance will be refunded.
- If a team drops on Monday before the tournament or later there will be no refund as the schedule will already be in process.
